Thank you for choosing The Replay Van. By confirming your booking, you agree to the following Terms & Conditions.
1. Booking & Deposit
A booking is only confirmed once the required deposit has been received. The remaining balance must be paid before or on the day of the event unless otherwise agreed. Deposits are non-refundable if the booking is cancelled within 14 days of the event date.
2. Cancellations
If you need to cancel your booking, please let us know as soon as possible. More than 14 days before the event — the deposit may be transferred to a new date (subject to availability). Within 14 days of the event — the deposit is non-refundable. If The Replay Van is unable to attend due to unforeseen circumstances (such as vehicle breakdown, serious illness or extreme weather), any payments made will be refunded or transferred to an alternative date where possible.
3. Access & Power
The customer is responsible for ensuring there is suitable access for The Replay Van to park safely. Where possible, access to a standard household power socket is required. If power is unavailable, this must be discussed before the event.
4. Supervision
Children remain the responsibility of the parent, guardian or event organiser at all times. A responsible adult (18+) must remain on-site throughout the booking.
5. Behaviour
We want everyone to enjoy the experience. Any abusive, aggressive or dangerous behaviour towards staff or equipment may result in the booking being ended without refund.
6. Equipment
All gaming equipment remains the property of The Replay Van. Customers may be charged for any damage caused through deliberate misuse or negligence.
7. Food & Drinks
Food and drinks are not permitted near the gaming equipment unless agreed beforehand. We recommend players take regular breaks for refreshments outside the gaming area.
8. Health & Safety
The Replay Van reserves the right to refuse entry if the maximum safe capacity has been reached. Players should follow any instructions given by staff to ensure everyone's safety.
9. Weather
The gaming experience takes place inside the van and can operate in most weather conditions. Outdoor gaming may be unavailable during heavy rain, strong winds or other unsafe conditions.
10. Photography
Photographs may occasionally be taken during events for promotional purposes. If you do not wish photographs to be used, please let us know before the event.
11. Delays
Please ensure guests arrive on time. Unfortunately, bookings cannot usually be extended if the event starts late due to circumstances outside of our control.
12. Liability
The Replay Van cannot accept responsibility for loss or damage to personal belongings brought onto the vehicle.
